How ATS actually works in 2026

Step 1: The ATS parses your file into structured fields — name, contact, experience blocks, skills, education.

Step 2: Keywords from the job description are matched against your resume text. Modern ATS use semantic matching, not just exact strings, so 'led a team' and 'managed team' now score similarly.

The 2026 ATS-friendly format

Single-column layout. Multi-column templates confuse most parsers.

Standard fonts — Calibri, Arial, Helvetica, Georgia, Times New Roman. 10.5–11.5 pt body.

No text inside images, headers or footers — key details there are frequently ignored.

Save as .docx (never PDF-image scans). Some ATS parse PDFs correctly, but .docx is universally safe.

Sections in this order: Contact → Professional Summary → Core Skills → Experience → Education → Certifications → Projects.

Keyword strategy that actually works

Pull the job description into a document and highlight every noun and skill word. Aim to naturally include the top 15–20 in your resume — in your summary, skills block and experience bullets.

Use both the acronym and the full form on first mention: 'Search Engine Optimization (SEO)'. ATS parsers score both.

Match job titles when honest to do so. If the job asks for a 'Data Analyst' and your title was 'Business Intelligence Analyst', include a parenthetical: 'Business Intelligence Analyst (Data Analyst)'.

Bullet point formula

Every bullet should follow: [Action verb] + [what you did] + [quantified outcome].

Weak: 'Responsible for sales team.' Strong: 'Led 12-person B2B sales team, increasing quarterly revenue 34% (₹4.2 Cr) through pipeline restructuring.'

Aim for 3–5 bullets per role and always lead with quantified impact.

The five mistakes that kill ATS scores

1. Multi-column templates from Canva that don't parse.

2. Skills hidden inside long paragraphs instead of listed.

3. Missing standard section headings (recruiters and ATS look for exact strings like 'Experience', 'Education').

4. Overuse of graphics, icons and colour bars — most ATS strip these but some misinterpret them.

5. No quantified achievements — bullets that read like a job description, not an accomplishment record.
